Inventory vs warehouse vs ERP: which software do you actually need?
Half of software selection pain is vocabulary. Stock software, warehouse software, inventory system, ERP — vendors use them loosely and buyers inherit the confusion. Here is the clean map, and a decision path for what to buy first.
1The clean map of terms
Inventory (stock) software is the record: how much, where, what value — with batches, expiry and reorder logic. Warehouse management (WMS) is the building: bins, put-away, scan-verified picking and packing, dispatch. ERP is the business: those two plus sales, purchasing, finance, and — in distribution — the field apps (van sales, pre-sales, DSD), all on one database. Accounting software handles the money layer; CRM handles the pipeline before customers become orders.
2Why the confusion exists
Because every layer claims the layer below. ERP suites include inventory, so they advertise as inventory software; WMS products track quantities, so they sound like stock systems; accounting tools bolt on "stock modules" that count but cannot run FEFO or a warehouse. The test is not the label — it is which questions the product answers natively: value and rotation (inventory), physical flow (WMS), or the whole trade cycle (ERP).
3A decision path that works
Buy against your loudest pain, on a platform that can grow. Stock counts wrong, expiry surprises, stockouts? Start with inventory. Pickers searching, wrong-item dispatches? Add WMS. Routes leaking cash at the door? Van sales. Retyping everything into accounts at night? You are already paying for an ERP in labour — get the real one. The mistake to avoid is buying disconnected point tools that each hold their own version of the truth.
4What one database changes
When inventory, warehouse, routes and accounting share a database, the reconciliations disappear: the van's sale reduces stock and posts to the ledger in the same second; the warehouse pick and the invoice can never disagree; finance signs a valuation that matches the shelves. That is the practical meaning of ERP — not more features, fewer versions of the truth.
